Sign On Process

Florida International University’s Sign On is a packet of forms used to complete the hiring process at FIU. External applicants who are selected as finalists in the interview process will be asked to complete an electronic sign on*. Notifications are sent to the email provided in the candidate’s careers.fiu.edu profile.

After these forms are submitted you will receive your Panther ID which will enable you to enroll in benefit options, receive FIU email correspondence, have access to university systems or other resources and receive pay.

Section 110.13 of the Florida Statutes and University policy, mandate that ALL employees participate in the Direct Deposit Program as a condition of employment. The Direct Deposit Form is included in the Sign On Packet.

This packet should be completed prior to employment to expedite your hire process. Pursuant to the U.S. Citizenship and Immigration Service, all new employees are required to complete and submit the Employment Eligibility Verification (Form I-9), within the first three days of employment.

*Fee for service and graduate assistant new hires may access their Sign On Packet below.

Graduate Assistants

Before proceeding you will need to have the following information in order to complete the Graduate Assistant Sign On Packet:

  • Graduate Assistant contract submitted in the PantherSoft system
  • Social Security Card
  • Emergency Contact (Name and Telephone number)
  • Bank Routing and Account Numbers
  • If you are a non-resident alien, you must also provide additional documents and are required to attain an On-Campus Employment Certification from the Office of International Student and Scholar Services (ISSS)

The Sign On Packet and the first page of the form I-9 will need to be completed prior to the start date of the Graduate Assistant contract, otherwise the contract will be canceled and will need to be resubmitted by the department. The employee is not able to start working until those documents are submitted.

Graduate Assistant Instructions:
Step 1: Once you review the instructions carefully, please click on and complete the Graduate Assistant Sign On – Use your FIU Student credentials to access the Sign On.

Step 2: As part of the new hire agreement, the employee will also need to submit a copy of the social security card through the ImageNow Import Tool.

Step 3: Within 24-72 business hours of submitting the GA sign-on packet, you will also receive an email from our third-party E-Verify vendor, Guardian, (DoNotReply@lawlogix.com) with a link to complete your USCIS Form I-9, section 1.
You must upload a legible front and back copy of your documentation for this. Please click here to review the list of acceptable documents that you can present. You can choose to present ONE document from List A or TWO documents (One from List B and one from List C).

Step 4: Once the Guardian I-9 is completed with work authorization documents attached, you will be able to visit the main HR office with your original documents submitted through Guardian for joint completion of section 2 and E-Verify submission.

Note: Please be advised that due to the University’s Red Flag Policy, confidential documents, such as these forms, or any other items containing Social Security numbers cannot and will not be accepted via email or fax.

Fee for Service

The below instructions are to be completed only after your Hiring Department notifies you that a New Hire Form was submitted to HR on your behalf.

    • New Hire Forms will not be processed without all required documentation.

Step 2: Once you review the instructions carefully, please click on and complete the “Sign On Fee for Service” link. You will receive a confirmation once it is submitted successfully.

Step 3: Within 24-72 business hours of submitting the Fee for Service sign-on packet, you will also receive an email from our third-party E-Verify vendor, Guardian, (DoNotReply@Guardian.com) with a link to complete your USCIS Form I-9, section 1.

Remote Hire Process

New hires that are unable to complete their onboarding paperwork in person may complete the process remotely. Instructions are as follows:

  1. Print the forms provided to you in your offer including:
    • Loyalty Oath
    • Form I-9
    • W-4
  2. Find a notary in your area.
  3. The notary will sign and stamp the Loyalty Oath.
  4. The notary will act as an authorized representative of the university and sign the Form I-9.
    • Instructions for remote Form I-9 completion.
    • This document does not require a notary stamp.
    • A copy of your SSC is required for payroll, even if not used for the Form I-9.
  5. The notary will make copies of the front and back of the forms of identification you decide to use. They will sign and stamp these copies.
  6. Due to the classified nature of these documents, we cannot accept them via email or fax. You can upload to the secure “Sign On Electronic Attachments” link, however you will need to email your Recruiter or contact HR to let them know it is uploaded or … mail all forms and document copies to:

NEE is designed to give you the necessary tools and resources for your career journey at FIU. Our goal is to help you understand FIU’s vision, mission, and values, as well as the benefits and opportunities associated with employment at the university.

Parking

image of an FIU Panther - Decorative All vehicles parked at the university must be registered with the Department of Parking & Transportation. You are encouraged to review the FIU Parking Rules & Regulations, schedules, and hours of operations at parking.fiu.edu. All parking permits are now virtual!

Vehicles parked in Pay by Phone metered spaces must pay for the space, even those with FIU parking decals or other forms of permit. To prevent your vehicle from being booted or towed, please do not accumulate any violations. The university assumes no liability for vehicles parked or operated on university property.

Key Request

The Key Control department is responsible for key distribution, electronic locks, and controlled access. To request a physical key, visit the Facilities website.

System Access Request

PantherSoft administers the PeopleSoft Human Resources, Student-Campus Solutions, and Financials systems, which are all managed through the MyFIU portal.

Access to the PantherSoft systems depends on your role within the university. You will need to complete an Access Request Form when additional security access is needed. All submissions follow an approval workflow which must be completed before access is granted.

Nepotism Disclosure

All new employees who disclosed a nepotic relationship in the hiring process must disclose again in the HR portal once their FIU account is active. Click here for more information on how to complete a nepotism disclosure form in the HR portal.
